This Privacy Policy describes how Scanner Sentinel ("we", "us", "our") collects, uses, and protects information in connection with the Scanner Sentinel remote monitoring platform, the website scannersentinel.com, and related services (together, the "Service").

1. Who we are

Scanner Sentinel provides continuous remote condition monitoring for medical imaging scanners. We monitor equipment telemetry - such as magnet health, environmental conditions, and incoming power - and deliver dashboards and alerts to the organizations that operate that equipment.

2. Information we collect

We collect the following categories of information:

Account information. Name, work email address, phone number (for SMS alerts), company or organization, and role, provided when an account is created for you or your organization.
Equipment telemetry. Sensor readings and device status from monitored scanners and monitoring hardware - for example helium level, pressure, temperatures, water flow, electrical readings, connection status, and uptime data - together with equipment identifiers such as hostname, MAC address, model, and site location.
Usage and log data. Standard technical information generated when you use the Service, such as login events, IP address, browser type, and actions taken in the dashboard.

We do not collect patient data. The Service monitors equipment only. It does not connect to imaging archives, worklists, or clinical systems, and it does not receive, store, or process patient images or protected health information (PHI).

3. How we use information

To provide, operate, and maintain the monitoring Service.
To display readings, trends, and history in your dashboard.
To send SMS and email alerts to the recipients your organization designates.
To provide support and respond to your requests.
To secure the Service, prevent abuse, and diagnose technical issues.
To improve the reliability and features of the Service.

4. Alerts and communications

Alert notifications are sent by SMS and email to the contact points configured by your organization. Alert routing is controlled by your organization's administrators, and recipients can be changed at any time in the platform's settings. We may also send service-related communications, such as maintenance notices or security advisories.

5. We do not share your information

We do not share your information with anyone. We do not sell, rent, trade, or disclose account information or equipment telemetry to any third party. Your data stays within the Scanner Sentinel platform and is accessible only to the authorized users of your own organization, according to the roles and permissions your administrators configure.

6. Security

Telemetry and account data are encrypted in transit and at rest. Access to the dashboard is protected by user accounts with role-based permissions. We apply reasonable technical and organizational measures appropriate to the nature of the data we handle; no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data retention

We retain equipment telemetry and alert history for as long as your organization maintains an active subscription, so that historical trends remain available in your dashboard. Account information is retained while your account is active. After termination, data is deleted or anonymized within a commercially reasonable period, unless a longer retention is required by law.

8. Your rights

Depending on your jurisdiction, you may have rights to access, correct, or delete personal information we hold about you, or to object to or restrict certain processing. To exercise these rights, contact us at the address below. If your account is managed by your organization, we may direct your request to your organization's administrator.

9. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, provide notice through the Service or by email.
